Reflections from IAF Mumbai Hub Session - Springboarding Sustainability through Stories

Conducting a facilitation session for the International Association of Facilitators (IAF) is always a pleasure.  It can also get a bit tense if you try to do different topics using a process that fits the session, but you haven't tried before.

That's what I did last month when I agreed to do a session on "Springboarding Sustainability through Stories" for IAF's Mumbai Hub.  I was blessed with participants who gave their full attention in the session.  There were two CPFs in attendance - Shyam Iyer and Kala Diwanji.

Here's what went well  - a deep discussion on the vast topic of "sustainability" was enabled for the participants.  I learnt that the process "Impact Gap Canvas" can generate deep discussion.  Participants were able to first research sustainability stories and then create some of their own as they discussed how they can make sustainability practices a part of their life.  I contracted with the CPFs to be participants in the session.

What I could have done differently - I could have designed more physical movement during the session for the participants as it would keep their energy levels up.  I also could have spent more time setting the context for the session.

IAF Event - Transformation Sprint

Say the word "sustainability" in certain companies and it will followed by discussions around pollution by organizations, waste management, loss of forests, wildlife, climate change and so on.  The discussion around action to change things doesn't move beyond criticizing government and industry.  At the end of this utilization of precious oxygen, nothing really changes, leaving a few people feeling sad and hopeless for the fate of the planet.

Pics from Building Relationships (Conflict Management) Workshop for Leaders

We know that for a team to be able to deliver extraordinary performance, they should be extremely capable and coordinated, and be able to understand each other.

My insight - A key for teams to build sustainable relationships is how the team is able to manage disagreements and conflicts. This came out clearly during the facilitated discussion on what makes a High Performing team.  The participants got this realization through the facilitation processes they underwent, because "Conflict is inevitable but combat is optional."  

Here is some of the action captured for a workshop on Building Sustainable Relationships through Conflict Management for Leaders.  The workshop topic was covered over 2 days for different sets of leaders of the organization and is a part of the leadership journey program. 

Participants got an understanding of the Thomas Kilman Model, The Conflict Continuum and Conflict Circles Model of Patrick Lencioni.  They also applied the model to situations they were facing at the workplace and got ideas on how to address similar situations in future.  A combination of training, lecture and facilitator-led group discussions were  designed to achieve this.

They also understood that disagreements are good for the growth and performance of the team, as long it doesn't get personal.

My Facilitation Week 2024 Learnings

Every year when the International Association of Facilitators celebrates Facilitation Week, I (and other members) volunteer my services to do conduct 90 to 120 minute sessions pro-bono for Educational Institutes, NGOs, Government organizations and Corporates.  Some of the members also offer their learning in the form of short open sessions to the members and non-members.  

I am always grateful for this opportunity because it allows me to exercise my facilitation design muscles on topics that I may or may not have done before.  I've been participating in Facilitation Week or Facweek since 2018. 

Some of the topics I have covered in the past include, Team collaboration, Resilient Leadership, Focus Group Discussions, Consensus building, Conducting Effective Performance Development Discussions, Unboxing Microaggressions, Building Online Engagement, and others.

Here are the sessions that I conducted for Facilitation Week in this year 2024.

While both sessions went well for the participants, there's always room for improvement and / or reiteration.

Overall there's a lot of learning for all of us, not just our participants.  As a facilitator, here are some points that get reinforced for me, frequently:

  • Think and plan your session based on the inputs you take from the client. Probe for clarity and understanding instead of taking anything at face value.
  • Keep backup processes and tools eg. Google Slides as backup.  Your participants may not be as comfortable with online tools (eg. Mural, Miro, Zoom, Teams, Kahoot, Padlet) as you might be.
  • Be ready to flex your approach and session, keeping the desired outcome in mind.  This means being reading to shift a process or drop a topic to ensure that the outcome is achieved within the given time.  Don't be married to your session design.
  • In the online space, a rehearsal with tech check is necessary, even if you or the client are comfortable with the platform.
  • In the online space, be absolutely clear with the client about things the participants have to do or not do, whether it is keeping videos on or sharing a desktop / laptop.
  • In the online space, time moves differently, mostly faster than you have anticipated.
  • In line with the above, the deeper you frame the discussion question, the more time participants need to assess and discuss the question. This goes back to planning.
  • As with technology, your participants may not be completely aware of technical terms related to the topic, so ensure that these are clarified as much as possible during your session.  This also eats into your allotted time so plan to communicate as simple as possible.  
  • It's more important for participants to understand the topic than to marvel at your brilliance during the session.  Participants will definitely appreciate this aspect.

My Facilitation Tip




This was shared by the International Association of Facilitators (IAF) on social media.  Gratitude to IAF for the opportunity to run facilitation sessions for Mumbai hub, IAF conference at Delhi and IAF Asia conference at Hyderabad.

Stretching Outside Your Comfort Zone

This picture nearly perfectly describes me in my comfort zone.  

What's discomforting to me? A few things.  Top of the list (maybe near the top) would be dancing. 

Now, I love music, and can find the rhythm of the song and can tap or sway reasonably well to it. Music, like dancing, is a kinesthetic experience. But for me, Dancing involves asking various parts of my body to do things in a particular sequence and coordination to music, at which it seems to rebel since my childhood.  So I have developed some expertise in avoiding dance during parties over the years.

Recently I was asked along with a colleague, Varsha Chitnis, to co-facilitate the morning Plenary session on Day 2 of the IAF Asia Conference of the International Association of Facilitators (IAF) at Hyderabad along with a super facilitator from Japan, Mr. Hideyuki Yoshioka.   We were allotted 45 minutes and asked to energize the group (of only 190 delegates of different ages) and connect it to the previous day's learnings.

During our initial zoom discussions, we brainstormed as to how this session could be energetic and fun.  Among the various ideas we discussed was how to include music into the session.  Hideyuki-san proposed that we incorporate Zumba into the session.  With further discussion, the design took shape to combine learning and the Zumba dance. It was fortunate for us that Hideyuki-san was a Certified Zumba Instructor. While we became very excited about the design, my fear of dancing came to the fore.  I would have gladly taken a back seat rather than be dancing on stage.

As we practiced our moves over Zoom with guidance from Hideyuki-san (he's a certified Zumba Instructor), my discomfort grew stronger. During a practice session, I spoke about my discomfort with dancing and how I was concerned that I might make huge errors and bring down the team. Both of them kindly told me that I have to do this, and not to worry too much.  They encouraged me to keep trying and gave me courage to make mistakes and move ahead.

There was complete enthusiastic participation from the delegates, which we felt enabled us to go beyond our own potential. We felt the energy in the room shift higher as they put on their moves to the music.  I know that my co-facilitators danced better than me.

The feedback we got was on the lines of "Best session so far at the conference", "we really enjoyed the session", "we loved it", "Awesome".  A personal feedback I got from a couple of people was that it was inspiring to see my  courage in dancing on stage, despite my errors.

After the conference, I reflected on what could have made me do something that wasn't really me, yet get accepted and appreciated by the delegates.  Here's what I came up with:
  • I acknowledged my discomfort with dancing to myself.
  • I voiced it with my co-facilitators
  • My co-facilitators encouraged me to keep trying and not dwell on mistakes.
  • Because of their immense  and kind support, I was able to engage my curiosity, use my growth mindset,  to focus my learning instead of my fears, and practice the steps.
  • Practice is important - regular deliberate practice even more so. Hideyuki-san made a video of us during a practice session which he shared with us.
I'm extremely grateful to IAF for the opportunity to do this session, and my co-facilitators Hideyuki Yoshioka and Varsha Chitnis for believing in me and being with me as I stretched outside of my comfort zone.

Let me also add that the conference was an awesome experience overall.  It was three days of fun and learning at Hyderabad for which I am thankful to all the facilitators and the delegates.

Participant Feedback - Emotional Intelligence Workshop

Here are the pictures of my recent one-day workshop on Emotional Intelligence for participants from a financial organization.  The interesting point here is that the participants (not all were managing teams) have nominated themselves for this workshop.  Their interest was evident right from the start, with their questions and participants.

I was able to facilitate a couple of areas and not the entire workshop since there the participants needed content to increase their understanding the topic.  Hence the workshop was a mix of facilitation and training.
